Based in Sydney's inner-west, we're a tour operator specialising in fully escorted unique rail-themed group tours of character, culture and history across Australia and around the world. From dinky little vintage trains in Outback Queensland to the Shinkansen of Japan, to private trains in Europe - we go pretty much anywhere there's trains! Established 12 years ago, we're now one of the leading brands in group tour rail travel. Since a change in our digital marketing strategy, we're experiencing unprecedented growth, doubling our team size in the last year, and another spike in bookings means we are growing again! About the job
If you're already in the travel industry, you'll know what we're looking for - that special person who actually delivers the itinerary components once the Tour Designer has locked them all in and the tour departure has been guaranteed, communicates with our travelling guests, and provides support to the Tour Leader once the tour is in full swing. If you're not in the travel industry, think event planner, conference organiser, or any role that requires good attention to detail and a requirement to work to time-based hard deadlines.
Key Responsibilities include:
- Developing passenger lists, making sure to include all contact information, dietary requirements, mobility issues and any special needs
- Confirming accommodation bookings and provide rooming lists to all providers, being sure to include any information about any special requirements such as ground floor room, separate shower, etc.
- Confirm all restaurant bookings and advise dietary requirements
- Confirm all booked activities, advising guest numbers and any special requirements
- Confirm all coach bookings that are required as part of the itinerary, check timings and build a Coach Run sheet
- Confirm any airport transfer arrangements included in the tour costs
- Communicate any itinerary changes with guests
- Manage all pre and post tour arrangements for guests
- Liaise with the Tour Leader to provide them with the information and collateral they require to run a successful tour
- Update, amend and print all on tour collateral including tour notes for all guests
- Organise and post all pre-tour documentation to guests
- Collate all post tour reports and feedback forms

- Have no problem with an office dog or two
- Experience in a similar role in the travel industry is desirable - experience with a wholesale tour operator would be highly regarded
- Proficient in Google Suite - especially Docs and Sheets
- Have a working knowledge of Canva - highly desirable
- Tech savvy and familiar with messaging and CRM systems (we use Slack, HubSpot) but not afraid to pick up the phone
- Consultative phone and email techniques with well-developed written and verbal English skills
- Strong organisational skills and the ability to effectively prioritise, multi-task, meet deadlines and remain calm under pressure
- Commitment to ‘going the extra mile’ to ensure customer satisfaction
- Excellent initiative, problem solver and ability to work unsupervised
