We are seeking a highly organised and detail-oriented Office Administrator to support our education recruitment operations. This role is critical in ensuring smooth day-to-day administration, managing student enquiries, and assisting with admissions processing for international education placements.
You will act as the backbone of the office—handling enquiries, maintaining records, and supporting consultants to ensure a seamless client experience.
Key Responsibilities
1. Administrative Support
Manage incoming emails, calls, and walk-in enquiries
Maintain accurate student records in CRM (e.g. HubSpot)
Organise documents and ensure compliance with internal processes
Prepare and send standard correspondence and templates
2. Student Admissions Support
Assist with student applications to colleges/universities
Coordinate required documents (passport, academic records, English tests)
Follow up with students to ensure complete applications
Liaise with education providers for offer letters (CoE)
3. CRM & Data Management
Update and track leads, enquiries, and application progress
Maintain pipeline visibility for management
Ensure all interactions are recorded properly
4. Appointment & Calendar Management
Schedule consultations and follow-ups
Send reminders and confirmations
Support consultants with daily scheduling
5. Office Operations
Manage reception duties and greet clients
Maintain office presentation and organisation
Handle basic invoicing and payment tracking
Requirements
Previous experience in administration or customer service
Strong organisational and multitasking skills
Excellent written and verbal communication
High attention to detail
Ability to follow structured processes
