MyVisa® is an Australian immigration law firm led by Principal Lawyer Nilesh Nandan, with offices in Sydney (Haymarket), Milsons Point, Liverpool, Parramatta, Newcastle, Melbourne, Brisbane and Perth. We specialise exclusively in Australian immigration and visa law.

Nilesh has been a lawyer for 33 years and has practised immigration law for the last 27. He holds a Bachelor of Laws, a Graduate Diploma in Legal Practice and a Master of Business Administration in International Finance and Tax, and is a Member of the Migration Institute of Australia (MMIA). He has appeared before the Administrative Review Tribunal, the Federal Circuit and Family Court of Australia and the Federal Court of Australia.

Our work spans the full range of immigration matters — visa refusals, visa cancellations under s.109, s.116, s.128 and s.501, urgent visa-expiry advice, ART tribunal appeals, Federal Circuit and Federal Court judicial review, Ministerial Intervention under s.351, s.417 and s.501J, protection visa applications including LGBTQ+ and family violence matters, and criminal-record and character issues.

The opportunity

We are seeking an experienced, organised and proactive Office Manager to join us full-time at our Pitt Street head office in Sydney. The role reports directly to the Principal Lawyer and is responsible for the smooth running of the office — its people, its systems and its day-to-day operations — so that our legal team can focus on delivering high-quality immigration outcomes for our clients. The role suits someone who takes ownership, sets a calm and professional tone, and enjoys building the systems that allow a busy practice to grow.

Key responsibilities

• Oversee the day-to-day operations of the Pitt Street head office and ensure a productive, professional environment for staff, clients and visitors.
• Coordinate the work of administrative and support staff — allocating tasks, setting priorities, monitoring deadlines and providing performance feedback.
• Coordinate personnel activities including recruitment, onboarding, training schedules, leave records and HR administration, in liaison with the Principal Lawyer.
• Allocate office space, equipment and resources, and maintain the firm's office systems, document storage and communications platforms.
• Review operating practices and procedures and recommend improvements to workflow, reporting and expenditure.
• Manage the firm's records and accounts — including general bookkeeping coordination, accounts payable, accounts receivable, expense reconciliation and reporting through the firm's accounting platform, in liaison with the firm's external accountants.
• Manage vendor relationships and renewals across practice management software, telecommunications, IT, stationery and other office services.
• Coordinate the firm's insurance renewals — professional indemnity, public liability, cyber and business pack — with the firm's broker.
• Coordinate IT and cybersecurity arrangements with the firm's external IT provider.
• Oversee premises matters — security, cleaning, maintenance, supplier coordination, and WHS compliance.
• Assist with client billing, invoicing and accounts receivable follow-up.
• Maintain firm registers, records and policies in accordance with the Legal Profession Uniform Law, the Australian Solicitors' Conduct Rules and the Privacy Act 1988 (Cth).
• Coordinate office calendars, travel, meetings and team events.
• Maintain the overall quality of service within the office.

About you

• A Diploma or Advanced Diploma in Business Administration, Office Administration or a related field; or at least three years of equivalent experience in an office management role (consistent with ANZSCO 512111 Skill Level 2).
• Demonstrated experience running the day-to-day operations of a professional office, including coordinating staff and resources.
• Strong written and verbal communication skills.
• High standard of accuracy and attention to detail.
• Proficient with Google Workspace (Gmail, Drive, Calendar, Docs, Sheets) and comfortable adopting new cloud-based tools.
• Sound discretion in handling confidential and sensitive information.
• Able to work independently, manage competing priorities and stay composed under pressure.
• Calm, professional and warm in your dealings with clients, staff and external suppliers.

Desirable:

• Experience in a law firm or other professional services environment.
• Experience with Clio Manage or comparable practice management software.
• Bookkeeping and reconciliation experience with Xero.
• Familiarity with the Privacy Act 1988 (Cth) and confidentiality obligations applicable to legal practice.
• Awareness of WHS obligations applicable to an office environment.
• Experience coordinating recruitment, onboarding and HR records for small teams.
